Summary:

Provides a wide variety of highly advanced professional assistance and coordination for the executive office of Biopharma Industrial Operations in order to provide continuity among global, corporate, division, and local work teams. Coordinate with many support services at the Clayton site (1700+ employees) including coordination and site administrative staff. Duties include project management, arranging tours/visits for the site, organizing large and executive level events in partnership with Headquarters, creating correspondence and presentation material, receipt and distribution of information, record keeping, and managing other issues in support of global manufacturing goals and deadlines. Work involves developing and recommending guidelines, procedures, policies, evaluating and coordinating program activities. Works under minimal supervision with latitude for the use of initiative and independent judgment.

Responsibilities include, but are not limited to the following:

● Provide comprehensive administrative support to executive leadership, including managing calendars, scheduling appointments, and arranging meetings

● Arrange complex and detailed travel plans, itineraries, agendas, and compiles documents for related meetings. Process reports for travel expenses

● Oversee details and coordinate with the administrative support services and facility support groups for Clayton Site including providing direct support for the EVP, Bioscience Industrial Operations

● Prepare and review operational reports, presentations and schedules used in decision making to ensure accuracy and efficiency

● Oversee and complete special projects by organizing and coordinating information and requirements; planning and arranging executive meetings, site visits, communicating meeting schedules; monitoring results

● Maintain and account for documentation details or information during meetings (i.e., operations, process, products, sales, support, and costs)

● Responsive to interoffice queries and ensures that there is effective communication of operational data to the leadership team

● Oversees the final preparation of online materials, manuals and publications

  • Bachelor's Degree in a business or related field

  • Minimum of 5 years of comprehensive executive level administrative or project management experience

  • Bilingual Spanish and English strongly preferred

  • Strong administrative and project management skills

  • Excellent communication skills both written and verbal

  • Must be an effective negotiator, organizer, and problem solver

  • Must be an excellent multitasker, able to handle highly confidential and urgent matters and able to work under pressure to meet aggressive deadlines

  • Proven success in executive level meeting planning

  • Possess expert skills in Microsoft Power Point and Word and strong proficiency in Excel

  • Depending on the area of assignment, directly related experience or a combination of directly related education and experience and/or competencies may be considered in place of the stated requirements. Example: If a job level requires a Bachelor’s degree plus 4 years of experience, an equivalency could include 8 years of experience, an Associate’s degree with 6 years of experience, or a Master’s degree with 2 years of experience.

Work is performed in an office environment with exposure to electrical office equipment. Frequently sits for 6-8 hours per day. Frequent hand movement of both hands with the ability to make fast, simple, movements of the fingers, hands, and wrists. Occasionally walks and stands. Occasionally bends and twists neck. Light to moderate lifting and carrying objects with a maximum lift of 25lbs. Frequently drives to site locations with occasional travel within the United States. Able to communicate information and ideas so others will understand; with the ability to listen to and understand information and ideas presented through spoken and written words and sentences. Interacts with others, relates sensitive information to diverse groups. Must work with diverse groups to obtain consensus on issues.
